This policy explains how we collect, hold, use and disclose personal information when you:
It does not apply to third-party websites we link to, or to information collected by those sites under their own privacy policies.
The information we collect depends on how you interact with us. In most cases it is limited to what we need to answer your enquiry or supply your order.
| Category | Examples | When we collect it |
|---|---|---|
| Identity & contact | Name, business name, email address, phone number, billing and delivery address | Enquiry, quote request, order, account sign-up |
| Transaction & order | Products and quantities requested, quote history, invoices, purchase and delivery records | When you request a quote or place an order |
| Business & trade | Company details, ABN or business number, accounts-payable contacts, agreed trade terms | When a trade account is opened or used |
| Technical & usage | IP address, browser and device type, pages viewed, referring URL, approximate location derived from IP | Automatically as you browse the Site |
| Communications | The content of emails, web-form messages and phone notes relating to your enquiry or order | Whenever you contact us |
We do not intentionally collect sensitive information (such as health, racial or religious information), and we ask that you do not send it to us through the Site.
Where you provide information about another person (for example, a colleague who will receive a delivery), you must have their permission to do so and let them know about this policy.
If you choose not to provide the information we ask for, we may not be able to prepare a quote, process an order or deliver goods to you.
We use personal information for the following purposes:
We will not use your personal information for a new purpose that is unrelated to the purpose for which it was collected, unless you consent or the law requires it.
Our Site uses cookies and similar technologies to keep the Site working properly, remember your preferences and understand which pages are useful to visitors. Analytics information is aggregated and used in a de-identified form wherever possible.
You can control cookies through your browser settings. Full details, including a list of the cookie categories we use, are set out in our Cookie Policy.
We do not sell, rent or trade your personal information. We share it only where it is necessary to run our business, and only with parties who are required to protect it. These include:
Some of our service providers (for example, cloud hosting and analytics providers) may store or process data on servers located outside Australia, including in the United States, the European Union and the Asia–Pacific region. Where we disclose personal information overseas, we take reasonable steps to ensure it receives a comparable standard of protection, and we remain accountable for the information we hold.
If you have asked to receive product news and specials, we may contact you by email about products, offers and events that we think are relevant to you. You can opt out at any time by using the unsubscribe link in any marketing email, or by emailing info@embodyit.com.au. We will action opt-out requests promptly.
Transactional messages — such as quotes, order confirmations and delivery updates — are not marketing and are not affected by an opt-out.
We take reasonable technical and organisational steps to protect the personal information we hold from loss, misuse, interference, unauthorised access, modification and disclosure. These include restricting access to staff who need it for their role, using secure connections, and working with reputable hosting and payment partners.
We do not store full payment card numbers on our systems. Card details, where used, are handled by our payment provider in accordance with the Payment Card Industry Data Security Standard (PCI DSS). No method of transmission or storage is completely secure, so we cannot guarantee absolute security — but we act quickly to investigate and respond if a breach occurs, and we notify affected individuals and the Office of the Australian Information Commissioner where we are required to do so.

When information is no longer needed, we securely destroy or de-identify it.
You may ask us for a copy of the personal information we hold about you, ask us to correct information that is inaccurate, out of date or incomplete, or ask us to delete information we no longer need to keep. We will respond within a reasonable period, and generally within 30 days.
There is no charge for making a request. In limited circumstances we may decline a request — for example, where the information contains personal information about another person, or where we are legally required to retain it — and if we do, we will explain why in writing.
To make a request, email info@embodyit.com.au with enough detail for us to identify your records.
If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first at info@embodyit.com.au. We will acknowledge your complaint promptly and aim to resolve it within 30 days.
